Position Overview
The Project Manager coordinates full-service event production from initial consultation through final load-out. Serving as the central point of contact between clients, venue representatives, vendors, and technical crews, this role ensures that audio, video, lighting, staging, and related production elements are planned and executed safely, efficiently, and in alignment with the client’s vision.
The ideal candidate combines strong client-service and organizational skills with practical knowledge of live-event production. They are comfortable managing multiple projects, adapting to changing conditions, and leading teams in fast-paced environments where timing, communication, and attention to detail are essential.
Key Responsibilities
Client Consultation and Project Planning
- Consult with clients to understand event goals, audience needs, creative direction, technical requirements, budget, and schedule.
- Translate client objectives into clear production plans, equipment specifications, staffing requirements, and project timelines.
- Conduct site visits and coordinate with venue personnel to assess access, power, rigging, staging, safety, and logistical requirements.
- Maintain clear, timely communication with clients throughout the planning and production process.
- Identify potential challenges early and recommend practical, cost-effective solutions.
Technical Production and Equipment Coordination
- Plan and coordinate audio, video, lighting, staging, rigging, power distribution, dance floors, and other production elements.
- Prepare or oversee equipment lists, production schedules, floor plans, signal-flow requirements, and technical documentation.
- Coordinate internal inventory, equipment rentals, transportation, deliveries, and third-party production vendors.
- Confirm that equipment and services are appropriate for the venue, audience size, event format, and client expectations.
- Work closely with technical leads to ensure all systems are tested, integrated, and show-ready.
Crew and Vendor Management
- Determine staffing needs and schedule technicians, stagehands, operators, and specialty contractors.
- Communicate project scope, schedules, responsibilities, dress requirements, and venue policies to production teams.
- Lead pre-production meetings and on-site crew briefings.
- Coordinate load-in, setup, rehearsals, show operation, strike, and load-out.
- Support crews in resolving technical or logistical issues while maintaining a professional and collaborative work environment.
- Monitor vendor performance and ensure external partners meet agreed-upon standards, schedules, and deliverables.
Budget and Schedule Management
- Develop project estimates and manage production costs within approved budgets.
- Track labor, equipment, rentals, transportation, and vendor expenses throughout each project.
- Manage project schedules, deadlines, and dependencies across clients, venues, vendors, and internal departments.
- Document and communicate changes in scope, cost, equipment, staffing, or timing.
- Review project financials and supporting documentation for accuracy and completeness.
On-Site Event Execution
- Serve as the primary production contact during assigned events.
- Oversee technical setup and confirm that production elements meet approved plans and quality standards.
- Coordinate with clients, venue teams, event planners, presenters, performers, and technical personnel throughout the event.
- Manage run-of-show details, cues, rehearsals, transitions, and schedule adjustments.
- Troubleshoot production issues calmly and make timely decisions under pressure.
- Ensure that work is completed in accordance with company procedures, venue rules, and applicable safety requirements.
Project Closeout
- Confirm the accurate return and reconciliation of equipment following each event.
- Review labor, rental, transportation, damage, and additional-service charges.
- Gather feedback from clients and production teams.
- Lead post-event reviews to identify successes, challenges, and process improvements.
- Maintain accurate project records, reports, and client documentation.
Qualifications
- Experience in live events, audiovisual production, entertainment, hospitality, staging, or a related project-management environment.
- Working knowledge of professional audio, video, lighting, staging, and event-production workflows.
- Strong organizational skills with the ability to manage multiple projects, schedules, priorities, and stakeholders.
- Excellent written and verbal communication skills.
- Demonstrated ability to lead crews and collaborate with clients, venues, vendors, and technical specialists.
- Strong problem-solving skills and the ability to remain composed in time-sensitive situations.
- Experience preparing estimates, managing budgets, and tracking project expenses.
- Proficiency with common business, scheduling, project-management, and event-production software.
- Ability to work evenings, weekends, holidays, and extended hours as event schedules require.
- Ability to travel to event locations and work in active production environments.
- A valid driver’s license and reliable transportation may be required.
Preferred Qualifications
- Three or more years of experience coordinating live-event or audiovisual productions.
- Experience managing corporate events, conferences, concerts, galas, festivals, or large-scale special events.
- Familiarity with CAD, event-diagramming, inventory-management, or production-design software.
- Knowledge of workplace safety, rigging practices, electrical requirements, and venue compliance.
- Project-management, audiovisual, safety, or manufacturer-specific certifications.
